The Licenses page of the AppSheet Admin Console is now generally available - rolling out over the next couple weeks**.** Customers that purchase their AppSheet licenses through Workspace can now see the licenses purchased, assigned and used in a single consolidated view in the AppSheet Admin Console. You can also distinguish between licenses used in a month and licenses assigned.

This updated license reporting will show you every user of your licenses in the calendar month and the reason why licenses were consumed. You can also select the reason and you will be redirected to the app usage report highlighting the apps that caused a license to be used. Starting next week, your organization may start to see warnings in the AppSheet Admin Console if you have exceeded the number of licenses purchased or have shared an app with a user with a lower license tier.

Given all the updates to AppSheet licensing through Workspace over the last several months, now is a good time to review the licensing rules and options available to your organization.

Background

A license is consumed whenever a user accesses an app. There are three licenses that are available to Workspace customers: AppSheet Core, AppSheet Enterprise Plus and AppSheet User Pass.

  • AppSheet Core helps users build powerful no-code apps and automations for small teams. It is included at no additional cost with most Workspace plans
  • AppSheet Enterprise Plus is designed for organizations that are ready to empower their users with the most advanced and performative apps, supported by robust monitoring and tiered governance controls
  • AppSheet User Pass makes it easy and cost effective to license users that do not use many apps or are external to your organization

The license required to use an app depends on the license of the app owner. For example, if an app owner with an enterprise license shares an app with a user that has an AppSheet Core entitlement through their Google Workspace license, then that Core user will consume an enterprise license that month–or a User Pass license if purchased.

Regardless of the license type, all AppSheet licenses are billed as a subscription. Billing is not usage based. In other words, your organization will never be charged for more licenses than you have agreed to purchase upfront, even if your usage exceeds your commitment. However, user access may be restricted after repeated months of unresolved license violations.

Licensing Options

AppSheet licensing for Workspace customers is designed to be flexible and cost effective. So we have made two critical features possible. First, your organization is not required to share a single license type. Some users can be on Enterprise while another set is on Core, otherwise known as partial domain licensing. It means you can take your time and upgrade users as-needed. Second, licenses can be assigned in the Workspace Admin Console or they can be provisioned for your users when they access an app through pooled licensing.

Partial Domain Licensing

Most organizations will be satisfied with the functionality of AppSheet Core or fully upgrade their organization to AppSheet Enterprise Plus. But we understand there will be situations where it is beneficial to have some of your users on AppSheet Core, another set of users on AppSheet Enterprise Plus, and still others consuming AppSheet User Pass. This is all possible- - here are a few scenarios:

  • Core + User Pass
  • Core + Enterprise Plus
  • Enterprise Plus + User Pass
  • Core + Enterprise Plus + User Pass

Pooled Licensing

Pooled licensing allows your users to be provisioned with access to AppSheet just-in-time without having to assign licenses upfront. This option is available for AppSheet Enterprise Plus and by default for customers of AppSheet User Pass.

It is now possible to limit the users of your pooled enterprise licenses to a group configured by an admin. Eligible users can be members from your verified domain(s) in a Google Group or a Microsoft Group. When configured, this setting grants an enterprise license to every member of the group, including groups within the selected group.

Users from your organization that are outside of the enterprise pooled group will not be allowed to access apps created by users with an enterprise license.

License Warnings

These options are designed to be flexible for a wide range of customers and use cases, however if you have not configured your governance settings, it is possible for your creators to exceed the number of licenses purchased. Starting next week, you may begin to see license warnings in your AppSheet Admin Console if you have used more licenses than you have purchased.If your organization repeatedly exceeds the number of licenses purchased, you can work with your Workspace seller to ensure you have sufficient licenses otherwise your app access may be blocked. Here are two examples that illustrate when you might see a license warning:

Example 1: AppSheet Core creators have shared an app with unlicensed external users



There are two ways to resolve this warning. First, the admin can restrict external users from accessing the apps in their organization. Keep in mind, you will need to wait until the following month for the warning to resolve. Second, the admin can purchase User Pass licenses. This will resolve the warning immediately.

Example 2: AppSheet Enterprise creators have shared their apps with too many users



There are several ways to resolve this warning. First, the admin can ask the enterprise creator to adjust their share settings so that the apps will only be accessed by licensed users. Second, the admin can configure a pooled license group and limit how their enterprise licenses are used. The admin could also turn off pooled licensing entirely, assign the licenses, and define policies that limit external sharing.

If your organization assigns their licenses to all necessary users in the Workspace Admin Console and limits sharing with external users, you will never see a license warning. You will also not see warnings if you have sufficient licenses for the users of your apps.

Frequently asked questions

My organization is consuming AppSheet Enterprise licenses, but I have not paid for any or paid for less than I am using. How is that possible?

This is likely because pooled enterprise licensing is turned on. This can happen due to a manually provisioned trial or a lapsed renewal. If you do not need AppSheet Enterprise licenses, then your admin can turn off pooled licensing in the AppSheet Admin Console or configure a pooled licensing group to restrict who can consume your pooled enterprise licenses. It may also happen because your enterprise creators have shared their apps with users from a lower license tier. To control this, you can either configure a pooled license group or restrict sharing using policies.

Do I need to pay for external users of my apps?

Yes - every user of your organization’s apps requires a license, including users of apps that do not require sign in (i.e., ‘public apps’). You can license these users with AppSheet User Pass or by creating a google account for them and assigning them an AppSheet license. There are exceptions where external users do not consume a license including users of your public sample apps and users that have already been assigned an AppSheet license from their own organization.

How do I restrict access to external users?

Customers with AppSheet Core can use the Core security setting to restrict access to internal apps by external users. Customers with AppSheet Enterprise Plus can use policies to restrict external sharing or define the exceptions where an app can be shared with an external user.

I set policies that limit app sharing and my creators have adjusted their sharing settings, but I still see license warnings. How do I get them to go away?

There are two types of license warnings: (1) Warnings caused by a user with a higher tier license sharing with a user from a lower tier license (2) Warnings caused by exceeding the number of licenses purchased. These warnings are based on the usage in a calendar month. If you adjust sharing settings or policies within a month, then the license warnings will be removed at the start of the next calendar month, but it does not affect the usage that has already occurred earlier in the month.

Are there any exceptions when a license will not be consumed when I access an app?

When an app user accesses public samples, team samples, AppSheet templates, the App Gallery or the Automation Monitor an AppSheet license will not be used. In addition, apps that have been shared with an external user that already has an AppSheet license from their own organization, will not consume an additional license from app owner’s organization.

My AppSheet licenses are billed through appsheet.com. Are there any changes to licenses or licensing rules for me?

No - there are no current plans to change the licenses (e.g., AppSheet Starter, AppSheet Core, AppSheet Publisher Pro) billed through appsheet.com. The launch described above does not affect the existing license rules that apply to customers with a consumer account. The AppSheet Admin Console, AppSheet Enterprise and AppSheet User Pass licenses are not available to consumer accounts. Customers are strongly recommended to use separate accounts if it is necessary to access licenses from the consumer and corporate channel to avoid double billing and unexpected behavior.

Workspace Commerce has been notified of the issue and is working on a resolution. In the meantime, you can “Contact Sales” and a Workspace representative will be in touch and can send you an offer for User Pass licenses.

As mentioned above, “every user of your organization’s apps requires a license, including users of apps that do not require sign in”. The deployment status of the app does not change the license required by the user - especially since prototype apps have most of the capabilities of deployed apps. The license required by an external user is based on the license of app owner. The users of an app owned by a Core creator require Core or User Pass. The users of an app owned by an Enterprise creator require Enterprise of User Pass.

Do apps in prototype mode have to pay even if they don’t exceed 10 users?

Publisher Pro will continue to be available for purchase for consumer accounts.

Could you clarify if the free prototyping license tier for up to 10 users will be discontinued? If so, when will a paid plan be required to maintain that access?

If you build apps using the Free plan or purchase your AppSheet licenses with a consumer account billed through appsheet.com, then you can continue to share prototype apps with up to 10 users, at no additional cost. If your AppSheet license comes with your organization’s Workspace plan or is billed through Workspace (i.e., Core or Enterprise) , then every user of your organization’s apps requires a license, including users of apps that do not require sign in.

Corporate Accounts (billed through Workspace): Every app user requires a license

Just to confirm my understanding for Corporate Accounts (billed through Workspace), every user needs a license : whether the app is in prototype mode or not, on the Publisher Pro or not, deployed or not, and regardless of the number of users (even if fewer than 10). Is that correct?

That is mostly correct, however, Publisher Pro is only available for consumer plans. The consumer plans are billed through appsheet.com and include Starter, Core and Publisher Pro. The corporate plans are billed through Workspace and include Core, Enterprise and User Pass.

I have begun to take notice of this License Reporting tool that has recently come to GA and I am worried that the company I work for is suddenly going to be hit with charges it cannot afford to pay.

I came to AppSheet via the Google App Maker debacle where Google pulled the plug on their own Low Code application creation tool leaving many users of that system with bitterness about the time and money they had invested that was suddenly wiped out.

AppSheet was suggested as something that App Maker developers could gravitate to and an olive branch was offered by Google where a customised AppSheet PRO plan with Cloud SQL connector capability was given free of charge to those businesses for as long as they remained G Suite customers.

I need to know whether Google is going to continue to honour their commitment to the businesses that were affected by their App Maker decision. Can you please give some clarity @alafontant ?
